The Engagement Season Strategy: How Event Professionals Can Prep for the Rush (Even After a Slow Year)

Engagement season, typically spanning Thanksgiving through Valentine’s Day is often called the “Super Bowl” of the wedding industry. But let’s be honest: not every year feels like a winning season.

So how do you get ready to maximize the busy months ahead, especially if you’ve just come out of a season that felt unusually slow?

Whether you’re a planner, photographer, caterer, designer, or content creator in the events space, here’s how to position yourself to attract serious inquiries, streamline your client workflow, and build trust that turns prospects into paying clients.

Before We Dive In: A Word of Empathy for Vendors

If 2024 felt quieter than expected, you’re not imagining things. Across the industry, many creatives, planners, and vendors, including me, have experienced an unexpected lull in bookings, slower social traction, and longer gaps between inquiries.

There are a mix of reasons: economic shifts, decision fatigue from couples, postponed weddings, influx of new event professionals in the industry, or social media visibility challenges. If you’ve felt discouraged, please know, you’re not alone.

The good news? Engagement season is always a fresh start.

Now’s the time to tune up your business backend, show up with value, pivot with alternative service add ons and create a system that makes it easy for your dream clients to find and trust you.

Step 1: Get Your House in Order

Before you launch a single IG campaign or push a reel, take a look behind the scenes:

  • Website check: Is your email, phone number, and booking link clearly listed? Is there a simple inquiry form that doesn’t take 20 minutes to complete? A missing or outdated contact page could cost you thousands in missed leads.
  • Update your lead magnets or brochures: If you have a downloadable services guide or welcome PDF, make sure the pricing and visuals reflect 2025 standards.
  • Test your workflow: Pretend you’re a client and walk through your own inquiry process. Did you receive a response quickly? Was it branded, clear, and professional?

Step 2: Create a Solid Follow-Up Plan

Ghosting happens to everyone, but the pros who book consistently are the ones who follow up strategically, not sporadically.

Here’s what I recommend:

  • If a lead looks ideal (budget, vision, alignment)  send up to three follow-up emails before closing the loop. I’ve sometimes revisited 3 months later and booked such clients.
  • If a lead seems outside your scope, one to two emails is enough to remain professional but protect your time. This could also be the perfect Segway to providing consulting services.
  • Use automated email sequences via tools like Honeybook, Dubsado, or Flodesk to help streamline follow-ups without losing your personal tone.

Pro Tip: Keep one of your follow-ups light-hearted and helpful; like a reminder of booking timelines or FAQs and not just “checking in.”

Step 3: Show, Don’t Just Tell

Engagement season is your time to lead with value and visuals.

Think about the content that grabs attention:

  • Highlight reels of past weddings or holiday parties you’ve done
  • Behind-the-scenes clips of you setting up or styling
  • Tips for newly engaged couples (great for cross-promoting with planners!) add fellow professionals as collaborators to boost your social media cross marketing.
  • Request testimonials and “what it’s like to work with me” stories from past couples.
  • Mood boards or mockups to inspire your audience.

This isn’t just about being on IG, it’s about positioning your brand as active, relevant, and in-demand.

Step 4: Partner Up + Pay It Forward

One of the best ways to increase your visibility is through collaboration:

  • Share helpful resources from other vendors (planners, venues, etc.).
  • Offer cross-promotions or joint IG Lives with planners or bridal stylists or other related vendors in your profession.
  • Reshare vendor posts where you were featured (tag everyone!).

This builds goodwill and keeps you top of mind when couples are asking their planner, “Do you know a good ____?”

Step 5: Treat Inquiries Like VIPs

Make the first touchpoint feel:

  • Fast (ideally under 24 hrs)
  • Personal (“Hi Alicia & Brandon” not “Hi bride”)
  • Helpful (add links to your FAQ, calendar, and starting prices)

Even if someone doesn’t book right away, they’ll remember how you made them feel — and they might come back or refer a friend.
